Special or sensitive personal data that we process

Our website and/or service does not intend to collect data about website visitors who are younger than 16 years old. Unless they have permission from their parents or guardian. However, we cannot verify whether a visitor is older than 16. We therefore advise parents to be involved in the online activities of their children, in order to prevent data about children being collected without parental consent. If you believe that we have collected personal information about a minor without consent, please contact us at info@gbstenten.be, and we will delete this information.

GBS Tenten processes your personal data for the following purposes:

To call or email you if this is necessary to perform our services

GBS Tenten also processes personal data if we are legally required to do so, as such data is needed for our tax return.

Automated decision making

GBS Tenten takes responsibility for decisions based on automated processing that may have (significant) consequences for individuals. These are decisions taken by computer programs or systems, without human intervention (for example, by an employee of GBS Tenten).

In addition, other limited forms of automated decision-making may also occur at GBS Tenten, for example, the automatic sending of confirmation emails, system notifications, or standard responses based on pre-set rules. Although these processes are generally administrative in nature and do not have a significant impact on those involved, they are carried out systematically without human intervention.

Regarding how long we will store personal data

GBS Tenten does not store your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following storage periods for the following (categories) of personal data: #retention_period

Contact details

Personal data that you submit through our contact forms – such as your name, email address and phone number – will be stored for a maximum of two years. This period allows us to process your request correctly and to follow up with information or offers if necessary. If there is no further interaction within this period, your data will be automatically deleted from our system.

Customer and invoicing information

Data required for customer management and invoicing, including name, address, VAT number, and payment information, is stored for seven years. This is required under tax and accounting legislation so that we can comply with our administrative obligations.

Job application details

When you apply for a job with us, we will store your application details, such as your resume and cover letter, for up to four weeks following the end of the application process. If you give your explicit consent, we may store this information for up to one year in order to contact you about future job openings.

Newsletter subscriptions and marketing preferences

When you subscribe to our newsletter, we will store your data for as long as you remain actively subscribed. Once you unsubscribe, your data will be deleted or anonymised within one month, ensuring that you will no longer receive any further communications.

Technical data from website visits

Technical data such as the IP address and browser information that is automatically collected when you visit our website is stored for up to six months. This data helps us to ensure the security of our systems and improve the functioning of the website.

Sharing personal data with third parties

GBS Tenten only provides data to third parties if this is necessary for the execution of our agreement with you or to comply with a legal obligation.

Access, rectify or erase data

You have the right to access, rectify or erase your personal data at any time. In addition, you have the right to withdraw your consent to the data processing or to object to the processing of your personal data by GBS Tenten, and you have the right to data portability. This means that you can submit a request to us to send the personal data we have about you in a file to you or another organisation specified by you. You can send a request for access, rectification, erasure, data transfer of your personal data, withdrawal of your consent or objection to the processing of your personal data to info@gbstenten.be. To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. In this copy, make sure to black-out your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number, and Social Security Number. This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks.

How we protect personal data

GBS Tenten takes the protection of your data seriously and takes appropriate measures to prevent abuse, loss, unauthorised access, unwanted publication and unauthorised changes.
